Paul Smith, the founder and driving force behind bidpiston, needed a smarter, more secure way to collect and manage the large volumes of data behind their carbon reduction reporting. Their existing setup relied heavily on spreadsheets, which made it difficult to track information, maintain accuracy, and produce consistent results. They also wanted to simplify how data was gathered from clients - particularly those bidding for projects that require compliant and verifiable carbon reduction reporting.
They wanted a solution that could bring everything together in one secure, central place, making it easier to collect, analyse, and share data with confidence. As part of the new system, they also wanted to introduce a client portal, allowing their customers to submit information directly, so that data would feed automatically into the CRM from the point of input.
The Challenge
Working across multiple spreadsheets made it hard to track changes, ensure accuracy, and generate consistent reports. The team needed a system that would make sense of complex data, reduce the potential for human error, and present information in a way that was both clear and actionable.
At the same time, they wanted to streamline how data was collected from clients. The new portal needed to make it easy for customers to submit their information securely, while ensuring it flowed directly into the CRM without the need for manual handling.
The goal was to create a platform that could handle data collection and management efficiently, while also producing detailed and reliable carbon reduction reports.
Our Approach
We worked closely with Paul to understand how data was being gathered, stored, and used, and where the main challenges lay. It was essential to map out their data processes, compliance requirements, and reporting outputs in detail. From there, we designed and developed a custom CRM that replaced spreadsheets entirely, transforming scattered information into a structured, secure, and easy to use system.
We also built a dedicated client portal that connects directly to the CRM. This allows external users to enter data through a guided interface, with information automatically validated, stored, and ready for processing within the main system.
The calculations behind bidpiston are fully aligned with the UK Government’s Social Value Model (PPN 06/20), ensuring that all carbon reporting is accurate, compliant, and recognised by public sector buyers. A key part of the project was ensuring these calculations were implemented correctly within the new platform, maintaining full consistency and reliability across all reports.
Our focus was on creating a solution that was clear, dependable, and efficient. Together, the CRM and client portal now give the team complete control over their data, with automated checks that ensure accuracy and confidence in every report.
The Result
The finished system brings together everything the bidpiston team needed into one secure, connected platform. The custom built CRM and client portal now handle the full carbon reporting process from data entry to final report, replacing spreadsheets with a clear, structured, and automated workflow.
External users can submit their information through the guided portal, with data automatically validated and stored in the CRM, ready for analysis. Built in tools allow the user to review, compare, and process submissions with ease, producing detailed carbon reduction reports that meet public sector requirements.
Key features include secure data storage with full audit history, the ability to re-run audits throughout the year, and dashboards that track year on year progress. Clear, 'buyer ready' reports can be exported instantly, and the system automatically generates Carbon Reduction Plans (CRPs) that align with government standards.
Together, the CRM and portal have transformed the way carbon data is collected and reported. The process is faster, more consistent, and far more reliable. What once required multiple spreadsheets and manual effort is now managed seamlessly within a single, easy to use platform, giving the team complete confidence in their data and their compliance.
